Coordinator, Community Events (Permanent, Full-time)
At The Foundation of Guelph General Hospital, we believe that great healthcare starts with a strong community and that every donor interaction is an opportunity to make a difference. We’re looking for a detail-oriented team member to support our growing events portfolio and thoughtfully engage the community in philanthropy.
As the Coordinator, Community Events you will support the planning and execution of the Foundation’s two signature fundraising events – Black Tie Bingo and Tour de Guelph – with a focus on creating an enjoyable and impactful experience for guests, donors, sponsors and volunteers alike. In collaboration with the Manager, Community Engagement, you’ll support the identification and execution of third-party and co-branded promotions with local businesses and community groups. You will also play an active role in supporting our existing lottery programs, Split the Pot and Payday Payout, to expand the Foundation’s reach and revenue goals.

- Competitive compensation package; hiring range for this role is $47,000 – $53,000

Expected Outcomes
- Support Planning and Execution of Signature Fundraising Events

- Support the planning and execution of all aspects of signature events, including logistics, promotional materials, print collateral, and event-day coordination

- Execute proactive and reactive communications to support guests, donors and fundraisers, elevating their experience and expanding reach

- Build relationships with supporting vendors or in-kind sponsors

- Prospect and outreach to local businesses and individuals to secure prizing

- Coordinate volunteers and support event-organizing committees.

- Coordinate meetings with internal and external event committee members, including the development and circulation of minutes

- Track, prepare and submit licensing and event-related documents to relevant third-party associations (i.e.: ACGO lottery licenses, SOPs)

- Maintain accurate event records and reporting across platforms

- Support tracking and reporting of program KPIs, identifying opportunities for continued growth
- Support Community-led and Third-Party Fundraising Initiatives

- Identify and support the growth of Local Businesses Care and third-party initiatives, in collaboration with Manager, Community Engagement

- Execute marketing and outreach strategies to increase awareness and program participation

- Conduct on-the-ground outreach to prospect new community partners or further cultivate relationships

- Develop and support third-party stewardship and recognition strategies, including drafting thank you letters and receipts, as well as facilitating cheque presentations in collaboration with relevant team members and hospital leadership

- Collaborate with Finance Manager and Manager, Community Engagement to ensure accurate financial reporting and donor recognition

- Maintain good tracking of engagement and stewardship activities within the Foundation’s CRM
- Lottery Administration and Promotion

- Execute marketing strategy to promote Payday Payout staff lottery within GGH

- Facilitate bi-weekly draws and outreach to lottery winners

- Prepare and maintain accurate and up-to-date records for lottery reporting

- Execute promotion of Split the Pot lottery, using pre-packaged assets from Ascend, in collaboration with Coordinator, Annual Giving

- Provide proactive recommendations to strengthen the awareness, participation and revenue within the lottery programs

- In collaboration with Finance Manager, ensure accurate reporting of revenue associated with lottery initiatives
Must-haves
- University degree and/or College Diploma in a relevant field preferred or an equivalent combination of training and experience;
- 1-2 years of experience in event management, fundraising, communications, or the ability to demonstrate how current experience can be transferred into this role
- Basic understanding of CRM systems and/or online platforms for email deployment, event tickets and fundraising registration (i.e.: peer-to-peer fundraising)
- Strong writing and editing skills;
- Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines;
- Experience coordinating effectively with suppliers
- High attention to detail and ability to confirm assumptions;
- Ability to take initiative and solve problems effectively;
- Proficiency in Microsoft Office Suite;
- Ability to learn and adapt to new software and technologies;
- A passion for the mission of the Foundation.
Nice-to-haves
- Experience in fundraising and/or non-profit, healthcare sector and knowledge of the Guelph community
- Proficiency in Raiser’s Edge/NXT or other fundraising CRMs
- Familiarity with AGCO compliance and Ontario lottery regulations

Gift Shop Volunteer – GGH
Proceeds from the gift shop and lottery ticket sales are donated to The Foundation for the purchase of patient equipment.
Courtyard Boutique
Greet everyone arriving in the Gift Shop. Sell and replenish supplies. Keep shop clean and free of clutter. Provide general information and directions to patients and visitors. Shifts are Monday – Friday, 10 a.m. – 1 p.m.; 1 – 4 p.m.; and 4 – 6:30 p.m. Saturday and Sunday, 11 a.m. – 2 p.m. and 2 – 5 p.m.
Hospital Equipment Lottery Program For People (H.E.L.P.P.)
Sell break-open lottery tickets to support the purchase of patient care equipment; provide general information and directions to patients and visitors. Must be able to push a cart and lift boxes of tickets. Shifts are Monday-Friday 10 a.m. – noon; noon – 2 p.m. and 2 – 4 p.m.
